UniFi Access


  1. Navigate to unifi.ui.com

  2. Sign in using your Microsoft account

  3. Click the tab that says “Access”.

  4. In the left-hand menu, select “Devices”, and click the device in question.


Add/Remove/Change Users


  1. In the left-hand menu, select “Settings”.

  2. Change the tab to “Users”.


Add

  1. Click “+ Create New User”.

  2. Set their first and last name + email address

  3. Under “Assignments”, you can assign whatever entry methods you would like to the user.

  4. Follow on on-screen instructions when adding entry methods

  5. Click “Create”.


Remove

  1. Click on the user in the list you’d like to remove

  2. Change the tab to “Settings”.

  3. At the bottom, click “Deactivate”.

  4. Once deactivated, the user can be removed by clicking “remove”.

  5. You can also click “Activate” to activate them again


Change

  1. Click on the user you’d like to change

  2. Change the tab to “Settings”.

  3. Note: If it’s an employee account synced with  with Entra ID (employee accounts), then you won’t be able to edit the name or email address.

  4. Update whatever fields need to be updated

  5. Add/Remove any entry methods

  6. Follow on on-screen instructions when adding entry methods


Add/Remove/Change NFC Cards


  1. In the left-hand menu, select “Settings”.

  2. Change the tab to “Card Inventory”.


Add

  1. Click “+ Add NFC Card”

  2. Select the radio button next to the reader that will register the new card

  3. Click “Continue”.

  4. Hold the new card up to the reader for 5 seconds

  5. Follow the on-screen instructions.

  6. Once added, click on the card in the list, and then select “Click to assign.”

  7. Select the radio button next to the user being assigned, and select “Assign”.


Remove

  1. Locate the card to be removed in the list, or by searching for it

  2. Click on the card

  3. At the bottom under Manage, select “Remove” and then “Remove” again to confirm


Change


  1. Locate the card to be changed in the list, or by searching for it

  2. Click on the card

  3. At the bottom under Manage, select “Unassign” and then “Unassign” again to confirm

  4. Click on the card in the list, and then select “Click to assign.”

  5. Select the radio button next to the user being assigned, and select “Assign”.


Setting up Visitors


  1. In the left-hand menu, select “Settings”.

  2. Change the tab to “Visitors”.

  3. Click “+ Create New Visitor”

  4. You can enter in their name, reason for visit, email, person to visit, start & end time/make it recurring, set allowed locations, select the created credentials, a QR Code/NFC Card/PIN

  5. Once the visit is made, you can see the status, time, credentials, and send an invitation email


Create/Change a Custom Unlock Schedule


  1. In the left-hand menu, select “Settings”.

  2. Change the tab to “Policies & Schedule.”

  3. Here you can create a new schedule or edit existing ones


New Schedule

  1. Click “Create New”

  2. Enter the name in the name textbox

  3. If it should apply to all Locations, leave it, or change the radio button to “Custom”.

  4. If it’s on Custom, click “Select” and then click the checkboxes next to each Location you want to add, and select “Save”.

  5. If it should apply to all Users, leave it, or change the radio button to “Custom”.

  6. If it’s on Custom, click “Select” and then click the checkboxes next to each User you want to add, and select “Save”.

  7. Change the Schedule to Custom and then define each day of the week

  8. Click the checkbox next to “Save as a Predefined Schedule.”

  9. If you want to set Holidays, select “On” next to Holidays

  10. Click “Create New Holiday”.

  11. Add all the ones you would like

  12. Select “Create.

  13. Don’t forget to actually set the schedule on the lock. See the section titled “Change Unlock Schedule”.


Change Schedule


  1. Click on the schedule you want to update

  2. If it should apply to all Locations, leave it, or change the radio button to “Custom”.

  3. If it’s on Custom, click “Select” and then click the checkboxes next to each Location you want to add, and select “Save”.

  4. If it should apply to all Users, leave it, or change the radio button to “Custom”.

  5. If it’s on Custom, click “Select” and then click the checkboxes next to each User you want to add, and select “Save”.

  6. Change the Schedule to Custom and then define each day of the week

  7. Click the checkbox next to “Save as a Predefined Schedule.”

  8. If you want to set Holidays, select “On” next to Holidays

  9. Click “Create New Holiday”.

  10. Add all the ones you would like

  11. Click “Apply Changes”.


Change Unlock Schedule


  1. Click on the device you want to update

  2. Change the tab to Settings

  3. Under the section called “Unlock Schedule,” there are 3 options: Never, Custom, and Temporary Unlock

  4. Never keeps the door unlocked; it must be unlocked by an authorized user

  5. Custom allows you to either set a schedule for each lock or assign a predefined schedule that unlocks during allowed times and stays locked otherwise.

    1. To use a predefined schedule, check the “Use a Predefined Schedule” box at the top and then select the desired schedule from the drop-down box, and select “Apply Changes”.

    2. To make a custom schedule for just the door, click on each day and adjust the time range you want, and select save

    3. If you want to add Holiday or First-Person-In-Requirements, check those boxes and select “Apply Changes”.

    4. Holiday Exceptions allow you to make schedule exceptions for holidays

    5. First-Person-In-Requirement requires an authorized user to unlock the door before the schedule goes into effect. This ensures that someone is actually in the building before unlocking.

  6. Temporary unlock allows you to set a duration that the door will remain unlocked for and then revert to the previous schedule in case of a special event or emergency.    

    1. You can select the drop-down box and change it to any of the predefined values, or select “Custom Unlock Duration” at the bottom

    2. Once set, click Apply Changes, and this will go into effect for however long you unlocked it for.


Change Access Method Settings


  1. Click on the Device you want to update, and change the tab to “Settings”.

  2. Mouse under the section called “Access Method Settings” and click “Edit”

  3. If you want to add/remove any access methods to a device, check/uncheck the box next to it

  4. Under the section called “Greeting”, you can update what greeting plays after a successful unlock, or uncheck “Voice Greeting” so nothing will play

  5. You can change the message and salutation to one of the drop-down options

  6. Under Advanced, you can update if the schedule is shown, and what the display brightness is

  7. Click “Apply Changes” once you are done to save them
