If you would like to change your menu greeting, or you have a special event during which you would like to use a customized greeting, you can do so fairly easily. First, we recommend writing a script (see below for some options you can use in the menu).
Once you have that complete, you have 4 options for recording the message:
- You can use https://www.narakeet.com/app/text-to-audio/ to have an automated voice record the message. It's good, but still a bit robotic. Listen to the different voice examples and accents to pick what works best for you. Download each individual message in WAV format and send it to techsupport@pinnacletechnology.solutions and we'll put it in place.
- For a relatively small fee (typically approximately $30-50 depending on the length of the greeting), you can have the greeting professionally recorded by somebody using Fiverr (this usually takes approximately 3 days to turn around). Note that any script changes will incur a separate fee, so please double-check the script BEFORE submitting the request.
- You can have somebody in your organization record the message themselves in WAV format using Audacity (let us know if you need us to install it on a machine for you).
- You can record the greeting yourself by simply dialing your own extension and leaving yourself a voicemail. Once you're satisfied, let us know, and we'll put it in place with the appropriate routing options.
- If you receive voicemails via email, just forward the email containing the voicemail to techsupport@pinnacletechnology.solutions
- If you receive voicemails on your telephone only, please email techsupport@pinnacletechnology.solutions and give us the extension number of the mailbox and the date/time that the voicemail containing the greeting was left.
When sending us updated greetings, please also include the timeframe you would like this custom greeting to be in place, or if you want the change to be permanent.
Menu Options
Once you have the "script" completed, then we'll need to identify how you want callers routed for each menu option. Here are some example menu options we could implement for you:
- Call a department or a group of people (either all at once, or in a hierarchy where it rings A & B first, followed by A, B, C, & D, followed by A, B, C, D, E & F before going to voicemail.
- A prerecorded "hours of operation" or "daily specials" message
- Call queuing where customers are given the option to wait for an available person if everyone is on the phone (think "you are #4 in line...") or they can press 0 to leave a message.
Office Hours / Holidays / Special Event Adjustments
Some customers prefer to turn their phones "in office" or "out of office" manually, but most choose to either ALWAYS present callers with a menu, or ring a group automatically during office hours or send callers to a menu outside of those hours.

Allowing callers to direct dial specific extensions
If you'd like an option to direct-dial extensions, you can do one of two things:
- Include in your menu message something like "to dial a specific extension, enter it at any time" (and make sure that there is NO menu option for the corresponding number (e.g. no menu option 1 if all of your extensions are 1xx). All menus will allow direct dialing an extension if there's no corresponding menu option.
- Include in your menu message something like "press 9 (or press #, 4, 8, etc) to call an extension by name". This can take you to a call by name menu that says "Please enter the first 3 letters of the last name of the person you are trying to contact", and then the system automatically adjusts this menu as people come/go.
Important: Only users that have a "self-identification" message set up on their extension will appear in the directory. If you need anyone to specifically be excluded, let us know and we
